More UK dealer software companies publish a price than a year ago, but several still want you on a call first. And a published price is not the whole story: most are capped by the number of cars, and some are quoted before VAT, so the figure you see is rarely the figure you pay.

Whatever the headline figure, check the vehicle limit and whether the stock book is included. A tier that caps at ten or twenty cars, or charges separately for invoicing, costs more than it first looks.

Is VAT in that?

Some prices are quoted before VAT, so the real figure is a fifth higher. Always ask which one you are being shown.

Is there a setup fee?

Migration and setup charges are common and rarely on the pricing page. Ask for the first-year total, not the monthly figure.

How many cars?

A cap of ten or twenty is easy to pass. Find out what happens at car twenty-one, and what the next tier costs.

How long am I tied in?

Rolling monthly and a twelve-month contract look identical on a price list. They are not the same commitment.

How much is car dealer software a month?

Many still will not say. Of the 12 we checked on 26 September 2026, 5 make you book a call before they give you a price. Those that do publish mostly price by the number of cars, so the bill rises as your stock grows: DealerSoftware, for example, is £99 for ten cars and £199 for twenty. CarDealerCMS is £79 a month for unlimited cars, with everything included.

Why do so many dealer software companies hide their prices?

Usually because the price depends on how much they think you will pay. A quote-only model lets a salesperson set the number after they have asked about your stock levels and your current spend. It is not necessarily dishonest, but it does mean two dealers can pay very different amounts for the same product, and you cannot compare anything until you have given up an hour on the phone.

What should be included for that money?

At a minimum: a website on your own domain, unlimited or generous vehicle numbers, photo hosting, a DVLA registration lookup so you are not typing specs by hand, and enquiry handling. Above that, look for stock book and invoicing with the VAT margin scheme, profit tracking per car, and somewhere your cars appear beyond your own site. Feeds to AutoTrader and Motors sound valuable but only pay off once you are already paying those portals separately.

What are the hidden costs to ask about?

Four things. Whether VAT is included in the headline figure. Whether there is a setup or migration fee. Whether the price is capped by the number of cars, because a twenty-car cap is easy to outgrow. And the contract length, because a rolling monthly deal and a twelve-month tie-in are very different commitments at the same monthly price.

Do I need a DMS as well as a website?

If you are running a stock book on paper or in a spreadsheet, the stock and invoicing side usually saves more time than the website saves you money. Some providers sell them separately and you end up paying twice. Worth checking whether the price you have been quoted covers both.
